Order Cancellation Policy

1. Order Processing & Cancellations

Once an order has been confirmed and processing has begun, orders cannot be cancelled.

All Sampuru Sakura items are made-to-order and prepared specifically for each client. Therefore, production and preparation begin immediately after order confirmation.

 


 

2. Customer Responsibility

We make every effort to ensure that:

  • Product descriptions are accurate and complete

  • Images clearly represent the shape, color, and appearance of the items

  • Relevant information is available prior to purchase

For this reason, cancellations, exchanges, or refunds cannot be granted due to customer error, including but not limited to:

  • Incorrect assumptions about size, color, or appearance

  • Change of mind after order confirmation

  • Incorrect shipping or customs-related expectations

Customers are encouraged to contact us before placing an order if clarification is needed.

 


 

3. Exceptional Circumstances

In rare and exceptional cases, cancellations may be considered at the sole discretion of Sampuru Sakura, for example:

  • Orders that have not yet entered production or preparation

  • Situations involving force majeure or unforeseen circumstances beyond reasonable control

If a cancellation is approved under such circumstances, any costs already incurred (including production, handling, administrative, or shipping-related costs) may be deducted from any refund, where applicable.

 


 

4. How to Request a Cancellation

Any request related to order cancellation must be submitted in writing to: info@sampuru-sakura.com

Submission of a cancellation request does not guarantee approval.

 


 

5. Relationship to Returns & Replacements

This Order Cancellation Policy operates independently of our Returns, Damage & Replacement Policy.
Cancellations are not applicable to items that have already been delivered or received; such cases are governed exclusively by the applicable returns and replacement terms.

1. General Policy

All Sampuru Sakura products are carefully inspected before dispatch. Due to the nature of our products, returns and replacements are only accepted in cases where items arrive defective or damaged.

We do not accept returns for reasons other than confirmed defects or damage.


2. Reporting Damage or Defects

If your item arrives damaged or defective, you must notify us as soon as reasonably possible after delivery.

Your email should include:

  • Your order reference
  • A brief description of the issue
  • Clear photographs of the item and packaging (where applicable)

3. Approval Before Returning Any Item

Do not return any item without prior written approval from Sampuru Sakura.

Once we receive your claim, we will review the information provided and may request additional details.
If the claim is approved, we will send you written instructions by email on how to proceed with the return, if required.

Items returned without prior authorization may not be accepted.


4. Investigation & Resolution

All damage or defect claims are subject to an internal review and, where applicable, a carrier or handling investigation.

Once the investigation has been properly conducted and the claim confirmed:

  • A replacement product will be issued, and/or
  • A refund will be processed, as appropriate

In confirmed cases of damage or defect, Sampuru Sakura will cover all reasonable costs related to the replacement, including shipping.


5. Shipping & Couriers

Sampuru Sakura is courier-agnostic. Claims and returns are not limited to, nor dependent on, any specific courier or shipping provider.

All return or replacement shipments must follow the instructions provided by Sampuru Sakura after claim approval.

Responsibility for Customs Fees

Please note that customs duties, import taxes, VAT, and any additional clearance fees are the responsibility of the customer. These charges are determined by the destination country’s customs authorities and vary from country to country.

Sampuru Sakura has no control over these charges and cannot predict the exact amount imposed by local customs offices.


 

Estimates of Customs Fees

While customs fees are set by local authorities, we can provide an estimated indication of potential duties or taxes upon request.

Estimates are based on:

  • The declared value of the items

  • The destination country

  • General customs regulations applicable at the time of shipment

Customs Clearance & Delivery

Shipments may be subject to customs inspection or clearance procedures upon arrival in the destination country. Any delays resulting from customs processing are outside of Sampuru Sakura’s control.

Customers are responsible for providing accurate and complete information required by customs authorities to ensure smooth delivery.
